GENERAL INFORMATION ON THE PROTECTION OF PERSONAL DATA

Herein with this statement Swedish Chamber of Commerce (“SCC)” would like to inform you about your rights regarding the analyzing, keeping, sharing and deleting procedure and application policies of your personal data under the Personal Data Protection Law numbered 6698 (the “DPL”).

Establishment purpose of SCC is to give its members opportunity in order to strengthen and develop bilateral relations, especially trade primarily between Turkey and Sweden, organizing events that both members and non-members can join and to take any initiative that can provide incentives. SCC can make cooperation or international activities in order to carry out its obligations and purposes which stated in its regulation.

Your personal data can be processed by SCC as a data controller as explained below and within the scope of the DPL and other regulations. SCC takes all the required measures in order to ensure data is transferred correctly to databases.

Processing of personal data means the collection, recording, rearrangement and retention of personal data to the extent permitted by law and its transfer to third persons and abroad. Personal data means personal information obtained by SCC, such as your name, surname and contact information, which allows identifying you as an individual.

How We Collect And Use (Process) Your Personal Data
In general, the personal data is obtained electronically, through submission of membership forms, business partners and verbal or written communications or business card exchange to our employees during events.

I. Your Personal Data That Has Been Provided By You

When becoming a member of SCC, some informations such as your name, surname, work address, citizenship number, job title, email address etc. are requested that will help us to know you and distinct from other members. Also we can ask your birth date, nationality, educational status, profession and personal email address, personal mail address and phone number for legal necessities. From our corporate members we require to appoint a contact person and this person/people’s name, surname, phone number, email address and job title.

We are processing your personal data in order to announce the events and activities that are organized by SCC and conducting activities in this order, being able to inform you about advantages regarding your membership. We can process and use this information to give you a better service, carryout SCC’s contacts about advertising and informing (CRM), gathering and editing statistical information, developing its donation and volunteering activities, build up its legal network, announcing our conferences and panels, coordinating events, to participate in joint activities with our business partners.

If you are not a member and submit one of our events, we will process and use your name and contact information which we will stock in our database to inform you about events and provide services. Additionally if you give your consent we will also use them to contact you to develop services that will assist you or other services that might help you with your business.

If you are a presenter/speaker at one of our events, we will collect information about you including your name, employer and contact information, and photograph. In certain instances, we may also store a recording of your voice and likeness in order to keep a record of your participation in a SCC event as a presenter. This information may be kept indefinitely for archival and promotion purposes.

Some of our events are sponsored. SCC may provide attendee lists to the sponsors, event partners and cooperation partners of these events. . We would like to point out that engages a third-party mailing house and does not share your mailing address directly with the sponsor/exhibitor.. If you do not wish to have your information included in an attendee list or to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact SCC directly.
Usage of the Website

The SCC website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of the SCC website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences. The SCC website also uses cookies and web beacons. It does not track users when they cross to third party websites, does not provide targeted advertising to them.

SCC may also use cookies and web beacons in association with e-mails delivered by SCC. Our website also captures limited information (user-agent, HTTP referrer, last URL requested by the user, client-side and server-side clickstream) about visits to our website; we may use this information to analyze general traffic patterns and to perform routine system maintenance.

II. When And How We Share Information With Others

Your personal data can be shared with third parties such as entrepreneurs and company representatives whom you have agreed to be introduced to, our accounting and audit service providers, attaché, the Sweden Consulate General in İstanbul, legally authorized public enterprises and private person, association representatives in Turkey, our business partners (both international and national) with the purposes to help us plan events within the scope of purposes and work subject in SCC’s regulation.

We can gather and later share event registration information that are taken in the events and association meetings with our business partners, sponsors and owners of the place.

We do not otherwise reveal your personal data to third-parties for their independent use unless: (1) you request or authorize it; (2) it is in connection with SCC-hosted and SCC co-sponsored events as described above; (3) the information is provided to comply with the law (for example, to comply with a search warrant, subpoena or court order), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (4) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (5) to address emergencies or acts of God; or (6) to address disputes, claims, or to persons demonstrating legal authority to act on your behalf; and (7) If you are a association member in our “members” page that is located in our website (8) through the SCC Member Directory and Board Members. We may also gather aggregated data about our members and website visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers and/or other third parties for marketing or promotional purposes.

The Consulate General of Sweden

SCC events are often located in Swedish Consulate General Istanbul. If you have registered for participation to such an event, your name, last name and company information is shared with the Security Department of the Consulate Generals for them to be able to check the participant’s ID at the entrance.

III. Rights of Data Subjects

You can use the rights that are stated below whenever you wish by applying to our association, which is a data controller under the article 11 of the DPL.

a) to learn whether your personal data is being processed;
b) in case the data is processed, to request information with regard to processing, to learn purposes of the processing and whether they are used in line with this purpose;
c) to know about the third parties within or outside the country to whom the personal data is transferred;
d) to request correction of the personal data if the data is processed incompletely or inaccurately;
e) to request deletion or destruction of the personal data under the conditions set forth in Article 7 of the DPL;
f) to request notification of third persons to whom the personal data are transferred, in case the correction, deletion or destruction of personal data is requested;
g) object to negative consequences affecting you which result from analysis of the processed personal data exclusively by automated systems,
h) to claim indemnification if the you suffered damage due to illegal processing of your personal data.

IV. Security of Your Data

As SCC we are taking logical technical and administrative measures in order to prevent risks of unauthorized access, accidental data loss, intentional deletion or damage to your personal data.

Accordingly, SCC undertakes;

1) To follow legal princibles about personal data processing.

2) To obtain Explicit consent for personal or sensitive data

3) To take required technical and administrative measures in order to prevent risks of unauthorized access and processing data in contrary with law and keeping data safe

4) To comply with the above-mentioned rights of the personal data owner and to compensate them for any possible damages.

V. Data storage and Retention

Your personal data is stored by SCC on its local infrastructure and the servers of third party cloud services that SCC employs, such as Google Analytics, Google Gsuite, Podio, Momentum Tools, Mailchimp, Zapier, and Siteground located in Turkey. If you are a SCC Member, sensitive data such as the photocopy of your ID is always kept in a locked file cabinet and is never stored in cloud-based systems. SCC retains your data for the duration of the customer’s or member’s business relationship with SCC. Changes and updates to “General Information on the Protection of Personal Data”

By using the SCC website, you agree to the terms and conditions contained in this General Information on the Protection of Personal Data and/or any other agreement that we might have with you. If you do not agree to any of these terms and conditions, you should not use this website or any SCC benefits or services. As our organization, membership and benefits change from time to time, this General Information on the Protection of Personal Data is expected to change as well. We reserve the right to amend the General Information on the Protection of Personal Data at any time, for any reason, without notice to you, other than the posting of the amended General Information on the Protection of Personal Data on this website. The provisions contained herein supersede all previous notices, policies or statements regarding our privacy practices and the terms and conditions that govern the use of this website.

When We Don’t Need Your Consent to Process Your Personal Data

SCC can process data without an explicit consent if it is regulated under the laws, if it is directly related to establishment of a contract or carrying out it, if the data has been publicize by the related person, if it has to be processed to establish a right, usage or protection, in the cases where data processing is a necessity for data controller SCC’s legitimate interests without damaging fundamental rights and freedoms of the related person, under the Article 5 of the DPL.
